For once, the University of Virginia is at the bottom of a college ranking: UVa is one of the last in the state to computerize its employment application system.

Next week, however, University Human Resources will launch Jobs@UVa, a fully electronic system for applicants and hiring officials.

In the current system, potential employees must apply in person at the human resources office or print the forms from the Web site and mail, fax or deliver the application. Applications must be reactivated after three months and filled out again every six months.

Using Jobs@UVa, scheduled to go live Monday, applicants can apply for specific positions online with the click of a button and won’t have to update and renew their applications every three and six months.

Applicants, who often received delayed responses from human resources office because recruiters were overloaded by the “manually intensive” paper system, will be able to check their status around the clock using Jobs@UVa, said Susan Carkeek, chief human resources officer.

UVa is lagging behind its peers electronically because of a massive software update from 2001, Carkeek said. The university needed time to stabilize the new software before other systems could be updated.

Although the system is set up to process most employment opportunities at UVa, the primary focus will be on staff positions at first. Student employment is handled on a different system.

In the nine months since implementation began, Jobs@UVa has been explained, piloted and tested multiple times, said Lucinda Childs-White, director of recruitment and staffing.

Hiring officials at the university have tested the program from their side and also posed as applicants

“I feel like the masses have had the opportunity to see the system,” Childs-White said.

Jen Oliver, director of human resources for the department of medicine at UVa, who has tried the new system as a hiring official and applicant, said the step-by-step instructions make it easy to use.

“Overall, the system is just going to enhance the whole business of how we hire and recruit employees, from staff to faculty, at the University of Virginia,” she said, adding that Jobs@UVa makes marketing positions to the national and international communities easier.

For those who are less computer savvy, help is always available at the human resources office.

“We can help people one-on-one if they need help navigating the online system,” Carkeek said.

Jobs@UVa, which cost $10,000 initially and has a yearly maintenance price tag of $70,500, is designed to increase the convenience of applying for a job at the university for everyone from applicants to hiring officials to human resources.

“Ultimately what we want to do is get the best people here as quickly as possible,” Carkeek said.
